IntelliArchive files the Faculty’s administrative records and student work, sends them to the people concerned and makes them searchable with a plain-language question, in French or English, with sourced answers.
The need
Notices, memos, calendars and minutes circulated between shared folders, email and binders. Finding last year’s document meant knowing exactly where it was filed, and students often learned about notices too late.
What we built
Three pillars. Archiving: the document describes itself, AI extracts its metadata. Distribution: subscribe to a topic and get notified as soon as something is filed. Retrieval: ask in plain language, get a sourced answer with the cited documents. Nine Spring Boot microservices, pgvector semantic search, MinIO storage.
The outcome
The Faculty’s records office runs a production system on the University’s domain, built on a proper classification plan. The project was the subject of a Master’s thesis in artificial intelligence defended in July 2026.
